Production time is not shipping time: how to plan a custom teamwear order

A realistic order plan uses separate dates for artwork approval, production, dispatch and transit. Combining them into one number makes it difficult to see which stage is still provisional.

Start with the approval milestone

Production planning begins only after the order inputs are complete. Record the final artwork or design approval, size and quantity confirmation, and any applicable advance-payment requirement. A date discussed before these inputs are complete should remain provisional.

Use the approved production estimate carefully

For standard custom sublimation sportswear orders, production is typically estimated at 7–10 working days after final artwork, sizes, quantities and applicable advance-payment requirements are confirmed. Complex designs, revisions, larger quantities, special requirements or peak workload may require additional time. The order-specific estimate belongs in the written quotation.

Keep the digital preview separate

A digital design preview is typically shared within 1–2 working days after complete artwork inputs are received. It is a design or print-file review stage, not a physical production sample and not the start of transit. Approval revisions can change the later production estimate.

Treat dispatch and transit as new stages

Dispatch happens after production and final order checks. Transit depends on the destination, shipment requirements, courier availability and applicable charges. Export availability, documentation, duties, taxes and customs arrangements are confirmed separately during quotation. Do not add a generic transit number to the production estimate.

Build a schedule the team can review

Keep five lines in the plan: input deadline, approval date, production estimate, dispatch estimate and transit estimate. Add contingency before the event date. If any line is not confirmed, label it pending rather than turning it into a promised arrival date.
