Artwork approval checklist for logos, player names and numbers

Artwork approval is a production control, not a quick visual sign-off. One named approver should check the authorised logos, layout, spelling, numbers, sizes and final file version together.

Confirm permission before layout approval

The ordering team should confirm that it is authorised to use every club, sponsor and third-party name or logo. A supplier's visual proof can confirm placement and scale; it does not establish ownership or permission to use the mark. Keep permission records with the order owner.

Control the source files and versions

Send the clearest available artwork through the approved private route. Give files understandable names and keep one version number or date for the review round. Do not send competing final files through several people or publish private artwork in a community post.

Check the layout as a complete garment

Review front, back and relevant side views. Check each logo's position and size, player-name and number placement, spelling, punctuation and the intended garment sizes. Screen colours are a review reference; any colour-approval method should be agreed with the supplier before production.

Reconcile the player list

Compare the artwork against one approved table of player names, numbers and sizes. Look for duplicate numbers, blank fields, inconsistent capitalisation and late roster changes. Ask how a change after approval affects the proof, production estimate and quotation.

Record an explicit final approval

Nominate one authorised approver and record the approved version and date. State any deliberately blank personalisation and retain the final table with the approved artwork. Do not treat silence, a platform message reaction or an earlier draft as final approval.
